Google Workspace AI: Features, Pricing, and What’s New

Google Workspace AI means Gemini built into Gmail, Docs, Sheets, Slides, Meet, Drive, and Chat. Since early 2025, Google has bundled it into paid plans instead of selling it as a separate add-on. That change shifted both the price you pay and the features you get.

Here’s what Google Workspace AI includes today and what each plan costs. You’ll also see what Google added this fall and which catches matter before you buy.

What Is Google Workspace AI?

Google Workspace is the suite of apps. At the same time, Gemini is the AI model that operates inside them. Together, they let you draft emails, summarize threads, and build slides. They also take meeting notes without leaving the app you’re in.

Three similar names cause confusion, so it helps to separate them.

  • Gemini in the workspace is the built-in AI assistant designed to help you right inside your favorite Workspace applications. It’s the subject of this guide.
  • Google AI Pro and Ultra are subscriptions for personal use. Google’s September 2026 announcement lists them among the plans that get the newest agentic features.
  • Gemini Enterprise is a different product. One licensing guide describes it as a separate Google Cloud agent platform, not the Workspace add-on Google withdrew in 2025.

What Changed: Gemini Is Now Included

In January 2025, Google stopped charging extra for Gemini in Workspace. Before that, businesses paid $20 per user each month for Gemini Business or $30 for Gemini Enterprise. Likewise, two $10 add-ons, AI Meetings and Messages and AI Security, also ended. Computerworld reported that all of them ended on March 17, 2025.

However, the base prices rose at the same time. On annual billing, Business Starter went from $6 to $7. Business Standard went from $12 to $14, and Business Plus went from $18 to $22. New customers paid the new rates immediately. Existing customers moved over after March 17.

So if an article still quotes a $20 to $30 Gemini add-on, it’s out of date.

The table below shows annual-billing list prices per user each month. Third-party guides report these figures, so confirm them on Google’s pricing page before you buy.

Plan Price Gemini access
Business Starter $7 Limited: Gemini in the Gmail side panel and a basic Gemini app
Business Standard $14 Full Gemini in Docs, Sheets, Slides, Meet, and more
Business Plus $22 Same Gemini features, plus more storage and security
Enterprise Standard $23 Same Gemini features, plus enterprise security and controls
Enterprise Plus $30 Adds items like client-side encryption and regional data controls

In practice, quotes for Enterprise vary, so treat those figures as list-price estimates.

Notably, upgrading to Enterprise doesn’t unlock extra Gemini features. One licensing analysis says the same Gemini features appear across Business and Enterprise editions. Enterprise adds security, data protection, and scale instead.

What You Get in Each App

Gemini shows up differently in each Workspace app, so here’s where you’ll notice it, based on Google’s announcements and press coverage.

  • Gmail: a Gemini side panel, plus writing help in the compose window.
  • Docs and Slides: image generation and drafting help.
  • Sheets: structured spreadsheets that Gemini can build from your Drive files.
  • Meet: automated note-taking.
  • Drive: an “Ask Gemini” feature that works across your folders.
  • NotebookLM: is included for users on the Standard plan or higher, according to Computerworld.

New in 2026: Agentic Features in Google Workspace AI

On September 9, 2026, Google announced five agentic capabilities. These features do more than answer a prompt. Instead, they pull from several apps and then produce a finished draft.

  1. Presentations from Chat. Ask Gemini in a Chat conversation to gather project status from chats, Gmail, and action items. It then builds a multi-slide deck. Google says this is coming soon.
  2. Spreadsheets from Drive. Gemini reads an open Drive folder and organizes the data, such as costs and material specs, into a Sheet. This is rolling out now.
  3. Team emails from Docs. Gemini drafts a recap email from your document in your usual writing voice. You can either export the file directly from Google Docs or review it before sending.  This is rolling out now.
  4. Briefs from email threads. In Gmail, Gemini combines a long thread with related files and chats. The result is an editable brief with goals, targets, and next steps. This is rolling out now.
  5. Branded decks from Docs proposals. Gemini turns a document into slides and applies your brand guidelines if you reference them. This is rolling out now.

These features cover Business Standard and Plus, Enterprise Standard and Plus, and the Google AI Pro and Ultra personal plans. They also cover Google AI Pro for Education. However, Business Starter doesn’t appear on Google’s list.

Google Workspace Studio: Build Your Own AI Agents

Google Workspace Studio is a no-code tool for building “flows.” A flow is a small agent that automates a routine task. You can pick prebuilt steps, or you can describe what you want to Gemini in plain language.

Additionally, flows connect to Gmail, Docs, Sheets, Drive, Calendar, Chat, Forms, and Tasks. Asana, Mailchimp, and Salesforce connections are in limited preview. Business, enterprise, and education customers can use Studio, and your administrator may need to turn on Gemini access first.

Here’s how to build one:

  1. Open Workspace Studio and click the plus icon for a new flow.
  2. Name the flow.
  3. Choose a starter, such as a schedule, a new email, or a changed sheet.
  4. Add steps, then add substeps or variables if you need them.
  5. Run a test. Test runs take real actions, so use a test document or a meeting where you’re the only invitee.
  6. Turn the flow on.

However, the limits are modest. Specifically, each flow gets one starter and up to 20 steps. Each user can create up to 100 flows. Availability is still rolling out, so you may not see every feature yet.

If you need more than Studio’s 20-step limit, compare it with no-code automation tools like n8n or Manus AI.

Catches Before You Buy Google Workspace AI

In fact, a few details matter more than the headline price.

  • Gemini comes with every seat. As a result, you pay the higher base price whether or not someone opens Gemini. Admins can switch Gemini off for the whole organization, but that doesn’t lower the bill.
  • Business plans cap at 300 users, so larger organizations generally need Enterprise.
  • Starter is limited, since it includes Gemini in Gmail and a basic Gemini app, not the full set.
  • Education is separate, because education editions get Google AI Pro for Education instead.
  • Some add-ons still cost extra. NotebookLM Enterprise, for example, runs about $25 per user each month, according to one licensing guide.
  • Usage reports are short. For instance, the user-level report covers only the past 28 days, so export it monthly if you want a longer view.

Two of the sources behind these figures are vendors or consultants with their own interests. Because of that, verify any number that affects your budget.

Which Plan Fits You?

Ultimately, your choice depends on how much of the AI you plan to use.

  • Solo users and small teams usually do well on Business Standard, because it’s the lowest plan with full Gemini in the core apps.
  • Gmail-only users may be fine on Business Starter if they only want writing help in the inbox.
  • Teams that need more storage or security can look at Business Plus.
  • Organizations above 300 users, or those with compliance needs, should price Enterprise. Upgrade only the people who need those extras.

Frequently Asked Questions

Is Google Workspace AI free? Not exactly. In fact, Google no longer sells a separate Gemini add-on for Standard, Plus, or Enterprise. Meanwhile, Gemini includes the plan prices. Business Starter includes limited Gemini features.

How much does Google Workspace AI cost? Reported annual list prices start at $7 per user each month for Business Starter. Standard is $14, plus is $22. Enterprise Standard is reported at $23, and Enterprise Plus at $30.

Can I still buy the Gemini add-on? No, not for Standard, Plus, or Enterprise. Google ended the add-ons on March 17, 2025, and folded Gemini into those plans.

What is Google Workspace Studio? It’s a no-code tool for building automated flows that run across Workspace apps. Each flow supports up to 20 steps, and each user can build up to 100 flows.

Are Gemini Enterprise and Gemini in Workspace the same things? No. One licensing guide describes Gemini Enterprise as a separate Google Cloud agent platform, so check its pricing on its own.

Can I turn Google Workspace AI off? Admins can turn Gemini off at the organization level. However, doing so doesn’t change what you pay.

Bottom Line on Google Workspace AI

Google Workspace AI is no longer an optional extra. Gemini now comes bundled with paid plans, and the base prices rose to cover it. For most teams, Business Standard is the practical starting point, because it unlocks full Gemini in the core apps. The fall 2026 agentic features and Workspace Studio push the suite toward real automation. Some pieces are still rolling out, though. Before you commit, check Google’s pricing page and confirm which features your plan includes.
